How to track overdue invoices
An aging report groups unpaid invoices by how late they are. It tells you who to chase first.
The columns you need
Invoice #, client, issue date, due date, amount, paid date, status.
Days overdue formula
In Google Sheets or Excel, with due date in E2 and paid date in G2:
=IF(G2<>"",0,MAX(0,TODAY()-E2))
Aging bucket formula
=IF(H2=0,"Current",IF(H2<=30,"1–30",IF(H2<=60,"31–60",IF(H2<=90,"61–90","90+"))))
Then a SUMIF per bucket gives the totals for a dashboard.
A follow-up routine
- Day 1 overdue: friendly reminder with invoice attached.
- Day 14: second reminder, ask if anything is blocking payment.
- Day 30: phone call; pause new work if your contract allows.
